Part-time Operations Manager - Birkirkara, Malta - Quad Consultancy

Main Duties:

• Collaborate with HR, Legal, and Quality departments to manage contracts for consultants, market access providers, speakers for events, and providers for sales data, wholesaler support, etc.
• Ensure all contracts are drafted, reviewed, and finalized in compliance with company policies and regulations
• Work closely with the finance team to prepare line-by-line budgets
• Align the Power-BI system with Finance during the budgeting period to ensure accurate financial reporting and analysis
• Coordinate with Finance to ensure timely invoicing and payments
• Monitor invoicing processes to minimize delays and discrepancies
• Assist in coordinating and organizing congresses, webinars, ad boards, liver-days, and local master classes
• Ensure all logistical aspects of events are effectively managed, including venue booking, travel arrangements, etc.
• Collaborate with the global marketing team and the Benelux and Nordic Team to support the development and distribution of marketing materials
• Ensure marketing materials meet brand guidelines and regulatory requirements

What skills do you need?

• A bachelor's degree in Business Administration, Operations Management, or a related field will be considered an asset
• Proven experience in operations management or a similar role, preferably within the pharmaceutical or healthcare industry
• Strong understanding of contract management processes and budgeting principles
• Excellent organizational and time-management skills, with the ability to prioritize tasks effectively
• Proficiency in Microsoft Office Suite, particularly Excel, and experience with Power-BI is desirable
• Exceptional communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams
• Attention to detail and a proactive approach to problem-solving
• Fluency in English is required, knowledge of additional languages such as Dutch, French, or Swedish is a plus, but not required
